We use your data to respond to inquiries or to establish contact and communicate regarding the respective matter, as well as for contract processing.
We store and process your data in our administration programs, email program, and office programs.
Access to your data is defined according to a rights and roles concept and is only permitted to the group of persons necessary for the respective purpose.
The primary legal basis for processing your personal data is Art. 6 para. 1 lit. b) GDPR. Processing is necessary for the performance of a contract to which the data subject is party or in order to take steps at the request of the data subject prior to entering into a contract.
Where applicable, we also base the processing on Art. 6 para. 1 lit. f) GDPR. The processing takes place due to legitimate interest. We assume that the processing, for example for communication, is also in the interest of the data subject. The storage of your data in our internal administration programs also falls under this.
For certain other processing activities, we also base the processing on your consent (Art. 6 para. 1 lit. a) GDPR). In such cases, we obtain your consent separately.
We retain the data you provide to us only for as long as necessary to fulfill the aforementioned purposes or as stipulated by the various retention periods provided by law. For example, the retention period for your data may derive from Section 257 of the German Commercial Code (HGB) and Section 147 of the German Tax Code (AO). Here, every merchant is required to retain commercial books for a period of 10 years, and commercial letters (including contract-relevant emails) for a period of 6 years. The retention period begins at the end of the calendar year in which the last entry was made in the commercial book, or the commercial letter was received or sent.
If the respective purpose ceases to apply or after the expiry of the corresponding periods, your data will be routinely blocked or deleted in accordance with legal regulations.
We only transfer your personal data to third parties if this is legally permitted or if you have given your consent.
A third country is understood to be countries in which the GDPR is not directly applicable law. This generally includes all countries outside the EU or the European Economic Area.
No data transfer to a third country or an international organization takes place without a legal basis.
By using Microsoft 365, we cannot rule out the possibility of data transfer to a third country (despite the servers being located in Germany).
